POSITION OVERVIEW
The Project Administration Officer plays a key support role within Defence’s Strategic Shipbuilding Agreements Branch. The position focuses on coordinating contract deliverables, managing document workflows, and supporting communication across multiple stakeholders. It operates in a fast paced environment, ensuring accuracy, compliance, and timely execution of key project activities.
ABOUT THE CLIENT
KEY RESPONSIBILITIES
- Manage and maintain Contract Data Requirements Lists, ensuring accuracy and timely processing of deliverables
- Administer and track CDRL and correspondence registers across multiple projects
- Coordinate and manage technical queries, ensuring they are tracked and resolved
- Oversee high volume correspondence workflows, including shared inbox management
- Support stakeholder engagement with Defence, OEMs, contractors and vendors
- Maintain document control processes using Objective or similar systems
- Distribute executed documents through secure and approved channels
- Provide administrative and program support to project teams
- Monitor deliverables against agreed timelines in a fast paced environment
ESSENTIAL REQUIREMENTS
- Demonstrated experience in project administration, contract support, or program coordination within Defence or similar complex environments
- Experience managing CDRLs, registers, or structured documentation systems
- Strong background in correspondence management, including high volume inboxes
- Proficiency in Objective or similar electronic document and records management systems
- High attention to detail with the ability to manage large volumes of information accurately
- Strong organisational and time management skills
- Experience coordinating technical queries through to resolution
- Strong communication and stakeholder engagement skills
- Ability to manage multiple workflows while maintaining compliance and audit readiness
- NV1 security clearance
DESIRABLE SKILLS
- Experience working within Defence shipbuilding or maritime programs
- Familiarity with contractual frameworks and compliance processes
- Ability to work effectively in high pressure, deadline driven environments
- Strong collaboration skills across multidisciplinary teams
